Privacy Policy

1. Introduction

TreeLife 360 ('we', 'our', or 'us') is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our tree service management platform, including our web application and our iOS and Android mobile apps.

2. Information We Collect

We collect the following categories of information when you use TreeLife 360:

  • Account information: name, email address, phone number, company name, and login credentials.
  • Company data: business address, subscription tier, and billing information.
  • Employee information: names, positions, contact details, and work schedules. Where required for payroll and tax compliance, we also collect date of birth, Social Security Number, and bank account details. Social Security Numbers and bank account numbers are encrypted.
  • Customer and job information: customer names, contact details, job site addresses, property and tree descriptions, estimates, and invoices.
  • Location information: precise (GPS) location from the mobile app, collected in the foreground and, with your consent, in the background. See Section 3.
  • Camera, photos, and microphone: photos you capture or select for estimates and work records, and voice input you provide for hands-free data entry. See Section 4.
  • Device and technical information: device identifiers, push notification tokens, app version, operating system, battery level (sent with location updates), and diagnostic and crash data.
  • Usage data: features used, time spent, and interactions within the app.

3. Location Information

Our mobile app collects precise location (GPS) data to support field operations. We use location in two ways:

  • Foreground location: when you check assets in or out and when you record job site information, we use your current location to tag those records accurately.
  • Background location: if you provide consent, we collect location in the background to track company assets that are checked out to you. Background tracking only occurs when you have assets checked out and during work hours (8:00 AM to 6:00 PM local time), with updates approximately every 5 to 15 minutes.
  • Background location tracking is off until you explicitly opt in through an in-app consent screen. You can revoke consent at any time in Settings, which stops tracking and deletes your stored location history.
  • Location history is retained for 30 days and then automatically deleted. Location data is encrypted in transit and at rest and is only visible to your company administrators.
  • We use Google Maps to display locations and routes. Your use of mapping features is also subject to Google's Privacy Policy.

4. Camera, Photos, and Microphone

With your permission, the mobile app accesses the following device features:

  • Camera: to capture photos of trees and job sites for estimates and work records, and to scan barcodes, VIN plates, and QR codes for asset identification.
  • Photos: to let you select existing photos and documents to attach to estimates, work records, and payroll setup.
  • Microphone: to provide voice input that is converted to text for faster data entry. Voice is processed only for transcription and we do not store audio recordings.

You can grant or deny each of these permissions, and change them at any time, in your device settings.

5. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services, including estimates, scheduling, asset tracking, and payroll
  • Develop new features and functionality
  • Provide customer support and respond to inquiries
  • Send service updates, security alerts, and administrative messages
  • Comply with legal, tax, and payroll obligations and enforce our terms

6. Mobile App Permissions

The mobile app requests the permissions below. Each is used only for the purpose described, and the app remains usable without the optional permissions, with the related feature disabled:

  • Location, including background location and a foreground service: asset tracking and job site tagging.
  • Camera: photo capture and barcode, VIN, and QR scanning.
  • Photo library: selecting photos and documents to upload.
  • Microphone: voice-to-text data entry.
  • Notifications: service alerts and location update requests from your manager.

7. SMS / Text Messaging Program

TreeLife 360 sends transactional SMS text messages on behalf of tree-service businesses to their customers and staff. We collect mobile phone numbers that you or your customers provide during account setup, estimate requests, or invoice setup, and use them solely to deliver service-related notifications.

The types of messages we send include:

  • A confirmation to a customer after they accept an estimate through our customer-facing portal
  • Payment reminders to customers when an invoice becomes due or overdue

Message frequency varies based on your account activity and the status of your estimates and invoices.

You can opt out of text messages at any time by replying STOP to any message. Reply HELP for assistance, or contact us at support@treelife360.com.

Consent to receive text messages is not a condition of purchasing any goods or services.

We do not sell your personal information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties under any circumstances.

8. Data Storage and Security

Your data is stored securely using Google Firebase Cloud Services. We implement industry-standard security measures including encryption in transit and at rest, regular security audits, and access controls. Highly sensitive fields such as Social Security Numbers and bank account numbers are additionally encrypted using managed encryption keys.

9. Multi-Tenant Data Isolation

TreeLife 360 operates as a multi-tenant system. Each company's data is completely isolated from other companies. We enforce strict access controls to ensure you can only access data belonging to your company. Database queries automatically filter by company ID, and our security rules prevent cross-tenant access.

10. Third-Party Services

We use trusted third-party services to operate our platform. We do not sell your personal information, and we do not share it with advertisers. The following providers process data on our behalf:

  • Google Firebase: Cloud database, authentication, and file storage. Google Privacy Policy applies.
  • Stripe: Payment processing and subscription management. Stripe Privacy Policy applies.
  • Google Maps: Map display and routing for location features. Google Privacy Policy applies.
  • Sentry: Diagnostics and crash reporting used to keep the app stable. Sentry receives error and performance data with sensitive fields filtered out. Sentry Privacy Policy applies.
  • Expo: Mobile app delivery and push notification token management. Expo Privacy Policy applies.
  • Google Cloud Translation: Translates user-authored text in messages, estimate line items, and service templates when your language preference differs from the original language. Only the text you or your team wrote is sent for translation; we do not send Social Security Numbers, bank account numbers, or other encrypted sensitive fields. Google Privacy Policy applies.
  • Twilio SendGrid: Transactional email such as estimates, invoices, and account notifications. Twilio Privacy Policy applies.

11. Cookies and Tracking

We use essential cookies for authentication and session management. We do not use third-party advertising or analytics cookies.

12. Your Rights (GDPR & CCPA)

You have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Request deletion of your data. Email privacy@treelife360.com or see our account and data deletion page for step-by-step instructions
  • Export your data in a portable format
  • Object to certain data processing, including withdrawing consent to background location tracking

13. Data Retention

We retain your data for as long as your account is active or as needed to provide services. Location history is retained for 30 days and then automatically deleted. After account cancellation, we retain data for 90 days for recovery purposes, then permanently delete it unless we are required by law (for example, payroll and tax records) to retain it longer.

14. Security Measures

We implement comprehensive security measures including role-based access control, custom authentication claims, encrypted data transmission (HTTPS), encrypted data at rest, additional managed-key encryption for sensitive fields, regular security audits, and automatic account isolation.

15. Children's Privacy

TreeLife 360 is a business tool intended for use by people aged 18 and older. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

16. Changes to Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email. Continued use after changes indicates acceptance of the updated policy.
